This Privacy Policy explains how BCC (“we”, “us”, “our”) collects, uses, stores and protects customers’ personal data when they use our website, register in our system, make an enquiry, book a wheelie bin cleaning service, use the customer app or contact us.

BCC provides wheelie bin cleaning services in selected local areas.

For the purposes of UK data protection law, BCC is the data controller, which means we are responsible for how customers’ personal data is processed.

2. What data we collect

We only collect data that is necessary to provide, manage and improve our wheelie bin cleaning services.

We may collect the following information:

Contact details

Name, email address, telephone number and communication preferences.

Service address

Postcode, house number, full address and, where needed, an adjusted map pin or location note to help us find the property and bins.

Customer account details

Customer ID, account status, selected plan, service frequency, registration date, renewal date, loyalty programme status and customer notes.

Booking and service details

The number and type of bins to be cleaned, council collection dates, cleaning frequency, selected plan, service history, completed cleans, missed cleans, failed service attempts and the reasons why a service could not be completed.

Payment and billing information

Information about the selected plan, payment status, invoices, payment references, renewal offers, refunds or failed payments.

We do not store full payment card details. Card payments or Direct Debit payments are handled by secure third-party payment providers.

Photos or proof of service

We may take photos of bins, access issues, locked gates, blocked bins, bins not presented for cleaning, overfilled bins, contaminated bins, damaged bins, bins that are unsafe to clean or photos confirming that a service has been completed.

These photos are used as proof of service, for customer support, complaint handling, dispute resolution and quality control.

Technical and website data

When using our website, we may collect basic technical data such as IP address, browser type, device type, pages visited and website usage data through cookies or analytics tools.

Communication records

We may keep records of emails, SMS messages, app messages, calls, complaints, service requests and other communication with the customer.

3. What data we do not normally collect

We do not normally collect special category data such as health information, racial or ethnic origin, religion, political opinions or biometric data.

Please do not send us sensitive personal information unless it is necessary to deal with a specific matter.

4. Why we use personal data

We use personal data to:

  • check whether a postcode is within our service area;
  • create and manage a customer account;
  • issue a Customer ID;
  • calculate the wheelie bin cleaning schedule;
  • arrange and provide wheelie bin cleaning services;
  • identify council collection dates and cleaning frequency;
  • assign an address to a driver or route;
  • contact customers about bookings, reminders, payments, renewals, missed services or service issues;
  • process payments, invoices, refunds and account records;
  • confirm whether a service was completed or could not be completed;
  • handle complaints, disputes, refunds and customer support requests;
  • manage loyalty, renewal or referral programmes;

We process data where it is necessary to provide the service requested by the customer, manage the customer account, arrange cleans, process payments and deal with service-related issues.

We process data where it is necessary for our legitimate business interests, provided that the customer’s rights do not override those interests.

This includes route planning, proof of service, customer support, fraud prevention, improving service quality, website security and business administration.

Legal obligation

We process and keep certain data where required by law, for example for tax, accounting, consumer rights, regulatory or legal claims purposes.

Consent

In some situations, we may rely on the customer’s consent, for example for certain optional marketing communications or some cookies.

6. Payments

Payments may be handled by secure third-party payment providers.

We do not store the full card number, CVV code or full payment card details.

  • payment providers handling card payments or Direct Debit payments;
  • website, app, database, hosting, email and SMS service providers;

  • debt recovery or dispute resolution providers where necessary and lawful.

We do not sell customers’ personal data.

All third parties who process data on our behalf must use it only for the agreed purpose and must keep it secure.

8. Data available to drivers and routes

To provide the service, drivers may have access to limited customer data, such as Customer ID, address, postcode, bin type, service date, notes needed to complete the clean and service status.

Drivers should only use customer data where it is necessary to carry out their work.

9. Photos, access issues and proof of service

We may take and store photos or notes where it is necessary to show that:

  • the service was completed;
  • the bin was not presented;
  • access was blocked;
  • the gate was locked;
  • the bin was overfilled, contaminated, damaged or unsafe to clean;
  • the service could not be completed for reasons outside our control;
  • a complaint or dispute needs to be investigated.

We will not use such photos for marketing purposes unless we have the customer’s consent or the photo does not identify the customer, their home or personal data.

10. Marketing communications

We may contact existing customers about service reminders, plan renewals, plan changes, loyalty discounts, referral programmes or similar services.

Where required by law, we will ask for consent before sending marketing messages.

Customers can opt out of marketing communications at any time by contacting us or using the unsubscribe option, where available.

Important service messages, such as booking confirmations, payment reminders, route updates or service issue notices, are not treated as marketing because they are necessary to provide the service.

11. Cookies and analytics

Our website may use cookies and analytics tools to understand how visitors use the website, improve its performance and keep it secure.

Cookies that are not strictly necessary will only be used where the required consent has been obtained.

12. How long we keep data

  • customer account and service data is kept while the account is active;
  • service history, payments, invoices and business records may be kept for up to 6 years for tax, accounting and legal reasons;
  • complaint, dispute and legal claim records may be kept for as long as necessary to protect our legal position;
  • website analytics data is kept according to the settings of the analytics provider;
  • photos used as proof of service are kept only for as long as reasonably necessary for service, complaint, payment or legal protection purposes.

When data is no longer needed, we delete it securely or anonymise it.

13. Data security

We take reasonable technical and organisational measures to protect personal data against loss, misuse, unauthorised access, alteration or disclosure.

This includes limiting access to customer data, using secure systems where possible, protecting admin panel access and allowing access only to authorised persons.

However, no internet-based system can guarantee complete security.

14. Transfers of data outside the United Kingdom

Some of our service providers may process data outside the United Kingdom.

Where this happens, we will take reasonable steps to ensure that appropriate safeguards are in place in accordance with UK data protection law.
